Time recording in Spain
What the Spanish working time record law requires and how Gesthoras meets it: clock-ins, four years of storage and reports for the inspectorate.
Many companies start tracking hours worked in an Excel timesheet. It works until the broken formulas, forgotten clock-ins and phone calls to find out who was where begin.
| Excel sheet | Gesthoras | |
|---|---|---|
| Clock-ins | Someone writes them down by hand, often at the end of the day or the week | Each person clocks in on the spot from a mobile, a computer, a QR code or RecLog |
| Errors | Broken formulas, empty cells and different versions of the same file | Hours are worked out automatically from the clock-ins |
| Missed clock-outs | You have to chase whoever did not clock in to complete the sheet | The working day closes automatically at its assigned time |
| Location | Phone calls to confirm where each person started | The place where the working day starts is recorded |
| Who is working | You don’t know until you check the sheet | You see it in real time |
| Four-year storage | Files and copies scattered across folders | The records stay stored on the platform |
| Labour Inspectorate | Pulling data together by hand before handing it over | Reports ready for the inspectorate |
With Gesthoras, each person records their own working day and the company stops piecing together sheets of hours worked. Clock-ins sync in real time, geolocation confirms where the day started without phone calls, and the working time record required by law is stored and ready for the inspectorate.
You can start for free with no card and move your staff from Excel to Gesthoras at your own pace.
Yes. Since May 2019, article 34.9 of the Workers’ Statute (Estatuto de los Trabajadores) has required every company to record the start and finish time of each employee’s working day, every day.
Four years. During that time they must be available to the employee, their legal representatives and the Inspección de Trabajo (Spanish Labour Inspectorate) on request. Gesthoras keeps them and produces the reports for the inspectorate.
Each person has their own link to start and finish the working day from any device: mobile, computer or QR code. If the company has the RecLog terminal, they can also clock in by tapping their NFC key fob.
